2. Internal Procedure and Deadline

All Erasmus+ project applications must comply with the guidelines established by the Vice-Rectorate for International Policy and Global Alliances of UCLM, as well as with the provisions set out in the Erasmus+ Programme Guide.

Therefore, in order to ensure coordination and review of proposals and to facilitate adequate administrative support, applicants wishing to submit proposals for any Erasmus+ KA2, KA3 or Jean Monnet calls must contact the International Projects Unit of the Vice-Rectorate for Internationalisation of UCLM in advance of submitting the project application, via the following email address:

This initial email must include a draft proposal in the form of a summary, including the following information:

  • Erasmus+ KA2, KA3 or Jean Monnet Application Form, duly completed and signed (available at the provided link and in the “Resources” section of the website)

  • Objectives

  • Timeline and scheduling

  • Detailed budget

This documentation must be submitted at least 7 days before the official deadline of the call.

3. Consortium Composition

If UCLM acts as the project coordinator, it must verify that all partner universities/organisations meet the eligibility requirements established in the call and confirm that all partners have a valid PIC (Partner Identification Code) in order to participate in the consortium.


4. Project Main Responsible (RP) Commitments

The Main Responsible (RP) of the project must be a faculty member with a permanent contractual relationship and in active service at UCLM.

The RP at UCLM assumes responsibility for:

  • Coordinating the UCLM project team

  • Communication with the coordinating or partner institution

  • Communication with funding bodies (EACEA, SEPIE, etc.) regarding project management

The RP is also responsible for:

  • Uploading the project proposal to the relevant platform (EACEA/SEPIE) within the established deadlines

  • Amending or correcting the application following instructions from EACEA/SEPIE, within the required timeframe

  • Informing the UCLM International Projects Unit in advance about project preparation, including the unit’s email address in proposals, and providing any documentation requested by the unit


5. Team Composition

The first necessary step in preparing an Erasmus+ project application is to define the UCLM team that will participate in the project.

All team members must have a contractual relationship with UCLM throughout the entire project implementation period.

During the project lifecycle, team members may be added or removed for justified reasons. Such changes must be communicated in due time and form to the UCLM International Projects Unit, as well as to the coordinating institution or the Agency (EACEA/SEPIE) if UCLM is the project coordinator.

Due to their contractual status, associate professors are not eligible to participate in Erasmus+ projects.

When preparing project activities, especially for the submission of periodic/interim/final reports, applicants should take into account holiday periods, deadlines of other calls, and periods of high workload.

Project proposals/applications should be submitted on the corresponding platform (EACEA / SEPIE) at least 48 hours before the official deadline.
